HOW IT ALL WORKS

An employee will log in via a location telephone.  The system will recognize the number thru Caller ID … The system will automatically note the time as well as the employee discipline and the patient/client physical location.  Upon leaving the location the employee again will call and log out.  The system will log the calls and archive the event.  The employee will also have the option to enter beginning and ending mileage for travel expense accounting.

Tables

  • User
    -This database provides internal control for access to the site. Who gets what access.
  • Employee
    -The employee's name, ID number, discipline, and phone number.
  • Patient
    -This name and phone number is used by the phone system as proof of location.
  • Facility
    -This table is used when the patient is in a facility and is not a home patient.

Ability to Edit Entries

Only administrator is allowed to edit

  • Close (clock out) employee time records
  • Edit beginning and ending time
  • Delete incorrect entries
  • Other editing functions

Employee Clock In

  • When an employee enters a patient location, a toll free phone call is made from the patient phone.
  • The location is identified by the patient's caller ID.
  • The call is answered and the employee is asked for his/her employee ID.
  • An optional prompt could ask for employee current vehicle odometer reading.

Employee Clock Out

  • Before leaving the patient, a second call is made to the toll free number.
  • Location is identified by the patient's caller ID
  • The call is answered and the employee is asked for his/her employee ID.

In The Office

  • Employees who have clocked in but not out are reported with their current location.
  • When the employee clocks out the current record is closed and a history record is entered.
  • Time reports may be selected for dates by employee and patient.
  • Other reports for volunteers and mileage are also available.

Mileage Reporting

  • When an employee begins their day a call is made and beginning mileage is entered.
  • At the end of the day another call is made and ending mileage is entered.
  • Employee has an option to enter beginning mileage at each visit location.
